Main Function

All those employed within the CrossReach Children & Family Services will, with a commitment to our Christian values, work as part of a holistic team to deliver a service that ensures that the needs of the children, young people and their families that we support, are fully met. You will be expected to work to the highest professional standards of those working within the Children’s workforce and adhere to professional codes of practice of SSSC, GTCS and other relevant professional bodies; ensuring that the aims and objectives of CrossReach and those specific to Children & Family Services and the section within which you are based are met.

All adults within our services, regardless of specific job remit and role, have a responsibility to promote a therapeutic environment and contribute to the relational health of children and young people in our services and have an understanding of how their role contributes.  The following values and attributes are applicable to all those employed within Children & Family services and not solely to those whose primary role is to support the direct care and education of children and young people.

Main Duties

  1. Provide administrative support for Director, Head of Care and Head of Education, including organising meetings, diaries, etc and minute taking when required.
  2. To provide administrative support to any member of the staff group when reasonably required.
  3. To establish and efficiently maintain a filing system, ensuring that all filing is kept up-to-date.
  4. To provide reception service, respond professionally and efficiently with telephone and email enquiries and with visitors to the service.
  5. To draft and type minutes, reports and letters as required by staff within the senior team.
  6. To support the recruitment process as requested by the Senior Management Team in line with CrossReach’s procedures.
  7. To manage the distribution of stock within the service and when required re-order stock through CrossReach’s recognised suppliers.
  8. To accurately maintain employee and children and young people records as requested by a member of the senior team.
  9. To communicate with staff within the service or in Regional and Head Offices, when necessary, to seek or pass on information.
  10. To engage and communicate with other agencies in promoting our service.
  11. Any other duties which may reasonably fall within the parameters of the post.

PLANNING AND DEVELOPMENT

As part of the staff team to play an active part in the formulation of a yearly plan.  Thereafter to be committed to working towards meeting the objectives identified

QUALITY ASSURANCE

Ensure that all services are delivered in accordance with the CrossReach policies and procedures, providing quarterly management reports which will contribute to annual Standards and Quality report in line with National Care Standards and Care Inspectorate Quality Standards.

PROFESSIONAL DEVELOPMENT

To participate in staff development programme and attend meetings, training courses and seminars as required.

FINANCIAL AND ADMINISTRATIVE MANAGEMENT

To support management teams as required in the preparation, management and monitoring of the annual operating budget for cluster of houses/services :

  • To ensure daily management of operational budget.
  • To ensure that client records are maintained in line with CrossReach’s policies.
  • To contribute to the maintenance of systems, to gather, record, and store data/information.
  • To manage the service’s petty cash.
  • To support Finance Administrator when required ie income and expenditure recording and procedures.

CONFIDENTIALITY

  1. To ensure that all information relating to service users is kept strictly confidential in line with CrossReach Policy and the Data Protection Act 1998.

This post requires you to either complete a Disclosure or be a member of the Protecting Vulnerable Groups (PVG) Scheme and undertake the necessary vetting checks.

Skills and Abilities

The post holder is deemed to have significant responsibility in a complex and demanding environment providing administrative support to Service staff and management.  This will require a considerable amount of autonomous working to ensure the efficient running of the Service Office on a day-to-day basis.

  • Experience of working with financial information is essential and a sound understanding of financial procedures as they relate to the job.
  • Proficient computer skills in Microsoft packages.
  • Accurate typing skills are essential.
  • Ability to work on own initiative and work within agreed deadlines.
  • Be able to communicate with staff at all levels of the organisation as well as people from external agencies.
  • Good organisational skills are essential.
  • A warm and friendly manner is essential as well as a professional attitude as the post holder will have contact with service users, their carers and other professionals.
