This is a temporary post for 2 years.
Main Function
To manage the development and day to day maintenance of the electronic HR System – CHRIS21, ensuring the system is meeting the needs of the Organisation and is ensuring compliance with policy, legislation and requirements of regulatory bodies.
The post holder will work proactively to ensure that Human Resources (HR) & Organisational Development (OD) information is up to date and accurate and appropriately shared within the organisation. This will involve utilising automation and technology, streamlining HR&OD systems and providing support and guidance to all system users.
The post-holder will also take a key role in the auditing of the HR system and processes.
The post-holder will also take a lead role in the development, maintenance and data transfer of other key HR&OD systems such as the E-Learning software (LearnPro) and the flexi-clock.
The postholder will collate, analyse and benchmark management information on behalf of the HR&OD section making recommendations to the HR&OD Management team.
Main Duties
- To be responsible for developing and maintaining the electronic HR system – CHRIS 21.
- To be the HR CHRIS 21 super-user and go-to person for HR system related queries.
- To ensure ongoing access and support to HR21 for identified staff.
- To develop and produce customised reports from the HR system, which may involve the use of and transfer to other systems. These should be in a comprehensive format to the user.
- To consult with relevant stakeholders to identify the future needs of the HR system and related processes.
- To develop and complete project plans to take forward new HR&OD system developments.
- To continue to develop the information accessible to Managers through HR21 to support them in their role.
- To support HR&OD staff in the maintenance and development of HR&OD systems and software, including e.g. Survey Monkey, E-Learning software and HR&OD elements of the CrossReach website.
- To maintain appropriate access levels and security settings for system users in line with GDPR and other relevant legislative and organisational requirements.
- To develop and update process instruction or training documentation for the HR system.
- To train staff on appropriate systems.
- To assist in the production, and when appropriate the development, of HR&OD Management Information, exploring how systems can streamline and automate processes.
- To work collaboratively with the Payroll Manager to ensure the integrity of the integrated system (HR and Payroll – CHRIS21).
- To liaise with the IT Manager and Payroll Manager to ensure the timely application and testing of system upgrades/updates.
- To undertake internal systems and HR&OD audits, developing reports with recommendations and where appropriate develop and monitor action plans.
- To provide information on system developments to internal and external auditors and track and report the progress of any audit requirements set.
- To extract appropriate data from the HR system to undertake regulatory reporting to meet internal and external requirements.
- To work with the IT Department to manage the process of the safe importing and exporting of data from other systems whilst maintaining the integrity of the HR system.
- To be the contact person with Frontier systems for the CHRIS21 database.
- To plan, organise and facilitate system development days with Frontier Software. Ensuring maximum benefit for system users and the organisation.
- To undertake duties or tasks to support the HR Business Partner Quality, Compliance and Improvement and the HR&OD Director as required.
- To prepare and undertake appropriate presentations and represent CrossReach at relevant external engagements.
- To stay abreast of current developments and legislative changes relevant to the role to inform best practice.
- To identify opportunities within the relevant areas of responsibility for developing new initiatives and strategies and discuss these with the relevant Head of Service/Business Partner.
Qualifications
Essential:
- A relevant degree/diploma or other relevant qualification in computing systems
- Commitment to ongoing CPD
