We have a temporary opportunity for an experienced secretary to work primarily with the Director of Finance & Resourcing and provide a support service to the Finance & Resourcing section plus regular support, in the absence of the PA to CEO, to the CEO.

By providing secretarial and administrative support to a busy team you’ll make a big difference to the service we offer.  Confident with Microsoft Office, you’ll be able to undertake copy and audio word processing and have previous administrative experience with the confidence to work under your own initiative as well as part of a team.  You will also need very good organisational skills with an attention to detail.

This is a temporary post up to September 2020 with access to our benefits package which includes an employer contributory pension and generous holiday allowance.

Salary is pro rata of 38.5 hours per week.

Interviews are scheduled to take place on Tuesday, 26 February 2019.

Main Function

To provide a secretarial service to the Director of Finance & Resourcing, a support service to the Finance & Resourcing section and regular support, in the absence of the PA to CEO, to the CEO.

Main Duties

  1. To provide dedicated secretarial support to the Director of Finance & Resourcing and the CEO in the absence of the PA.
  1. To be responsible for the typing of correspondence, reports, statistical data etc transcribing from hand written copy and audio.
  1. To operate a mail tracking system.
  1. To provide full secretarial services to designated committees/governance groups of the council.
  1. To attend the Committee meeting’s ensuring that papers are prepared timeously, meetings convened, committee members notified, minutes taken and papers circulated.
  1. To maintain and co-ordinate the Director’s and other designated staffs’ diaries and arrange meetings ensuring all necessary arrangements are made.
  1. To undertake routine correspondence, and ensure that all correspondence is signed and appropriately dispatched.
  1. To attend meetings as required and be responsible for minute taking and typing and circulation of minutes and agendas
  1. To establish and efficiently maintain a filing system.
  1. To handle the Director’s correspondence including e-mails ensuring that appropriate timescales are met.
  1. To make all necessary travel arrangements.
  1. To provide support to the CEO on a weekly basis in the absence of the PA to the CEO.

Essential:

  • To have very good organisational skills and attention to detail.
  • Ability to work under pressure in a busy section.

 

Desirable:

  • A knowledge of Publisher software.
